How seats work

  1. Choose how many seats you need — at least 3, up to 1,000 — and pay by card.
  2. Invite your physicians by email or with a CSV file, share a join link, or let anyone with your verified email domain join. Each joins in one click, with a new or existing EdPortus account.
  3. An open invitation holds a seat, so accepting never fails. Add seats any time; you see the new total before anything is charged.
  4. Remove a physician and the seat is free for someone else at once. A physician who leaves keeps their account and everything they saved, on the Free plan.
  5. The person who buys the plan manages it and does not need a seat; they can take one if they also use Pro themselves.

What the practice sees, and what it never sees

Each physician decides whether to share their requirement status with the practice — when they join, and at any time after. They can stop sharing whenever they like.

The practice sees

  • The name and email of each physician who joined
  • Seats paid, in use and open, and pending invitations
  • Only if the physician shares: how many items are overdue, due within 90 days, to confirm or done, and the next due date

The practice never sees

  • License numbers, DEA numbers or NPI
  • Documents and certificates in the physician's vault
  • Which licenses or credentials the items belong to
  • Any status at all from a physician who has not chosen to share

Office manager access

Separately from the group plan, a physician can give a named person — an office manager or credentialing coordinator — access to their own account. The physician chooses view only or view and edit licenses, credentials and documents, and whether full license numbers are shown. Access lasts a year, can be renewed, and the physician can end it at any time.

Billing, password, profile, courses, attestations and credit claims always stay the physician's own; no setting can hand them to someone else. Office manager access is part of Pro, so every seat includes it.

How billing works

  • One yearly charge per seat$119 per seat per year, paid by card through Stripe, our payment processor.
  • Adding seats during the yearYou pay only for the rest of the current year for the new seats. The total is shown before you confirm.
  • Renews automatically, cancel onlineThe plan renews each year until you cancel. Cancel online any time: on your group page, "Invoices, receipts and card" opens the billing portal, where you can cancel the plan.
  • At renewalThe plan renews for the seats in use (never fewer than 3), so removed seats come off the bill.
  • Receipts and cardDownload invoices and update the card in the billing portal, from your group page.
  • If a payment failsStripe tries again over a few days and we email you; your physicians keep Pro meanwhile. If the plan ends, everyone moves to Free and nothing they saved is deleted.

Questions

  • How many seats can we buy?

    At least 3 and up to 1,000 at checkout. Add seats whenever you need them.

  • Do our physicians have to share their status with us?

    No. Each physician chooses whether to share, and can stop at any time. Without sharing, you see only their name and email, so you know they joined.

  • Can we see license numbers or documents?

    No. A practice only ever sees counts — overdue, due within 90 days, to confirm, done — and the next due date. License numbers, NPI, documents and certificates are never shared with the practice.

  • How is that different from office manager access?

    Office manager access is set up by a physician, for one named person, inside their own account. It can include viewing or editing licenses, credentials and documents. The group plan never gives that access by itself.

  • What happens when a physician leaves the practice?

    Remove them, or they can leave on their own. Their account and everything they saved stays theirs, on the Free plan. The seat is free for someone else straight away.

  • Can we lower the number of seats?

    Yes. Removed seats come off at renewal: the plan renews for the seats in use, never fewer than 3.

  • Does the person who buys the plan need a seat?

    No. The buyer manages the plan and only takes a seat if they also want Pro for themselves.

  • Can we pay by invoice or purchase order?

    Checkout takes a card. For larger organizations, invoicing or a purchase order, write to us and we will work it out with you.
